  In this Edition:
Changes to business stationery rules

Companies in the UK must include certain regulatory information on their websites and in their email footers from 1st January 2007 or they will breach the Companies Act and risk a fine. This information has been obtained from Companies House.

Whether in hard copy, electronic or any other form:

A company must state its name, in legible lettering, on the following -
  • all the company's business letters;
  • all its notices and other official publications;
  • all bills of exchange, promissory notes, endorsements, cheques and orders for money or goods purporting to be signed by, or on behalf of, the company;
  • all its bills of parcels, invoices, receipts and letters of credit
On all of its business letters, order forms or any of the company’s web sites*, the company must show in legible lettering –
  • its place of registration
  • registered number
  • its registered office address
  • and if it is being wound up, that fact

*A web site is not a company’s web site if, its content is determined solely by persons other than the company, or it does not relate to the company, its business or operations.

This rule currently only applies to companies. It is not applicable to sole traders or partnerships. However it is good practice to provide such information as your name, address and registration on both email communications and on your web site. Your presence on the Internet should be part of your marketing strategy to attract potential customers. Here are some questions to challenge you to use the Internet to raise your profile in 2007:

  • Does your web site display the latest company or sector news?
  • Does your web site inform customers about new products and services, special prices and offers?
  • Does your web site mention your latest achievements / accreditations / affiliations?
  • Do you display current testimonials and case studies?
  • Do you send out regular email newsletters?
  • Do you ask business associates to put links to your web site from theirs?
  • Is your web site optimised? Do key words and phrases your customers are likely to search for display your company high in the search engine rankings?
